We’re hiring a detail-oriented Specifications & Project Support Assistant (Civil) to help our engineers produce clear, compliant CSI specifications and keep projects organized and on schedule. You’ll draft/edit spec sections, assemble spec books, maintain submittal/RFI trackers, and support PMs with meeting notes, action logs, and document control in SharePoint/Teams (or Asana).

Responsibilities

  • Draft, edit, and format CSI MasterFormat sections in Word using templates/styles.
  • Assemble and publish spec books; manage addenda, revision logs, and transmittals.
  • Maintain submittal/RFI trackers and coordinate with vendors/consultants.
  • Take meeting minutes, update action/decision logs, and support milestone checklists.
  • Perform document control in SharePoint/Teams (or Procore/Asana/Smartsheet).
  • Cross-check drawings vs. specs for consistency; flag conflicts for engineers.
  • Prepare bid/issue packages and closeout documentation.

Minimum Requirements (skills-based)

  • 1–3 years in an A/E, contractor, or related environment.
  • Strong writing/editing skills; meticulous attention to formatting and detail.
  • Proficiency with Microsoft Word (styles, TOCs), and Excel.
  • Comfortable working in shared document systems (SharePoint/Teams).
  • Ability to manage multiple deadlines and ask clarifying questions quickly.
  • Authorization to work in the U.S.

Preferred Requirements

  • Exposure to SpecsIntact (or similar spec tools) and Bluebeam.
  • Familiarity with NAVFAC/USACE/UFC and public-sector procurement.
  • Experience supporting submittals/RFIs and document control workflows.
  • Basic civil/site/utility design terminology.
